Book via Quick Action Cards
The quick action cards for 'Book a Room' and 'Book a Desk' are designed to provide a user friendly and speedy way to find and book available resources based on filters of your choosing.
Book a Desk
When you tap on 'Book a Desk' you will be presented with the following view to allow you to select a building, floor, date and slot for booking. Once the filters have been applied you can simply tap on 'Book' to book your desired desk.
Book a Room
When you tap on 'Book a Room' you will be presented with the following view to allow you to select a building, floor, date and details for booking a meeting space. Once the filters have been applied you can simply tap on 'Book' to book your desired meeting room.
Book via UMA Chat Assistant
To book a desk or room using the UMA chat assistant you need to press on the microphone button in the centre of the navigation bar.
This will take you to a view where you can use your voice or type to chat to UMA to find available resources to book.
You will be presented with questions that helps UMA narrow down the available resources to present back to you.
Using the chat assistant, you can use any of the following example commands and more:
- Book a desk now
- Book a meeting room now
- Book a meeting room next Monday
- Can I book a desk?
- I would like to book a room for 30 mins on Monday starting at 2pm
- Change my location settings
- Cancel request
The chat assistant will reply with resource availability dependent on your building and floor preferences. It's designed to give you booking options based on your default location.
Once the booking has been confirmed you will receive a notification from UMA and also a normal booking notification using your O365 calendar application.
Your bookings will be synced and be available to see on the UMA web application.
Book via Map
You will only be able to book via a map if your admin has uploaded a floor map to book from. Please contact your admin if a map of your floor is not available to book from.
Navigate to 'Book via Map' and the floor map should default according to your account preferences. If not, please check your account preferences in the mobile app or here. You can also change floor maps to different buildings/floors dependent on which resource you want to book.
For the best user experience we recommend rotating your phone so the floor map can take up the whole screen.
The map will show live availability of all desks and meeting rooms using red and green indicators.
To book, click on the desk or meeting room you want to book from the floor map and a pop up will display giving you booking options. For meeting rooms you are able to quick book from 30 mins to 2 hours dependent on the availability of the resource.
You are also able to book later for any date and any time. Booking for later also enables you to add participants to the meeting invite, along with providing a subject and notes for the meeting.
Adding participants from your own company is easy and UMA should automatically find your colleagues once you start typing their name. For participants outside of your company, you'll need to type their email address.
For desks you can either book for a full day or half a day dependent on the policy that your admin has set. You can click on a booked/occupied resource and book for later.
